RefWorks Migration Guide: Migrating to EndNote

This guide is intended to help UM patrons learn about the Library's decision to no longer provide access to RefWorks, explore alternate programs, as well as instructions on how to migrate their RefWorks data into other citation management programs.

OVERVIEW OF STEPS

  1. Before You Export
  2. Determine how you want to export your references

If you have extensively used Personal Note or customizable fields in RefWorks or require any additional support to migrate your RefWorks references, please contact:

Citation.Management@umanitoba.ca

IMPORTANT INFORMATION

  • It is not recommended that you export more than 500 references at a time from RefWorks. If your library is larger than 500 references you should create folders and export them one at a time to ensure the integrity of the references
  • Any file attachments (e.g. PDFs) you have connected to your RefWorks references will not be exported to EndNote. These files can be saved manually to your computer and then added to the correct EndNote reference (by dragging and dropping) later
  • Any text in either PERSONAL NOTES or USER FIELDS in RefWorks will not transfer. You will need to copy it out and insert it in an equivalent field in EndNote
  • Any URLs in the LINKS field will transfer, as do DOIs
  • If you have inserted citations in documents with RefWorks' Write-N-Cite, they can't be used with EndNote's Cite While You Write. You will need to either finish the document you are working on and generate its bibliography with RefWorks Write-N-Cite, or start over with EndNote Desktop. If you choose to complete a project in RefWorks, it must be finished by December 31, 2017.

MIGRATING ALL REFERENCES AT ONCE (NO FOLDERS ARE PRESERVED)

Note: Use this option if you a) do not use folders in RefWorks or b) have no interest in maintaining your current folder structure in EndNote (where folders are referred to as Groups). If you want to maintain your folder(s) use the import instructions further below.

1.  Open RefWorks and choose VIEW >> ALL REFERENCES

2.  Hover over REFERENCES >> and choose EXPORT

3. Next to SELECT AN EXPORT FORMAT choose BIBLIOGRAPHIC SOFTWARE export format and then click on EXPORT REFERENCES

4.  Depending on which browser you are using, your file may displayed as tagged text on the screen or it may be possible to save it as a file. If it displays in a tagged format in your browser, use the saving option to save as a .txt file

5.  Open EndNote and select FILE >> IMPORT >> FILE

6. Next to IMPORT FILE: navigate to your saved .txt file

7. Next to IMPORT OPTION: select REFERENCE MANAGER (RIS). If you don't see this option, click on OTHER FILTERS to locate it.

8. Select IMPORT

MIGRATING INDIVIDUAL FOLDERS

1.  Open RefWorks and go to the folder you want to export

2.  Hover over REFERENCES >> and choose EXPORT

3. Ensure that the folder you want to export is listed next to REFERENCES TO INCLUDE FROM and that ALL IN LIST is selected.

If it displays in a tagged format in your browser, use the saving option to save as a .txt file (you may have to manually write in filename.txt)

9. The references will automatically import into EndNote's ALL REFERENCES AND IMPORTED REFERENCES. In order to maintain your folder structure you will need to create a group in EndNote

10. Right click beside MY GROUPS and select CREATE GROUP. Give it any name you want.

11. Click on IMPORTED REFERENCES and select CRTL+A (Command+A on a Mac) then drag and drop those references into your newly created folder on the left hand side.

12. Complete the above steps for any other folders you have in RefWorks and create accompanying EndNote groups for each folder.
