     DIGITIZATION PROJECTS

 

The Libraries offer services to digitize larger requests for materials at a discounted price. Clients can use this service to digitize materials for projects, personal research, exhibitions, etc. Clients may further submit a project to digitize personal items, provided these materials cannot be digitized without special equipment. Personal items that can be digitized with a standard table-top scanner will not be accepted by RSDS. Clients who wish to submit a Digitization Project for high resolution images should complete a Digitization Project Form online. Once a form has been submitted, RSDS will review the form and follow-up with the client to discuss the project further, and provide an estimated quote. RSDS has the right to decline any digitization projects if the project's demands cannot be met due to the lack of resources (i.e. if the project cannot be accommodated within the requested timeline, or with existing staff, and equipment). Digitization Project Form

 

Individuals who wish to request a Digitization Project for low resolution images should contact the University of Manitoba Archives & Special Collections at (204) 474-9986 or archives@umanitoba.ca for more information. 


RSDS considers any digitization requests that meet the requirements below as a Digitization Project.

Tabletop Scanner*

40 scans or more
Large Format Scanner 20 scans or more
DSLR Camera 20 scans or more
Multiple Equipment 40 scans or more

*Only materials owned or under the stewardship of the University of Manitoba will be accepted. 

DIGITIZATION PROJECT FEES

Digitization Project will be charged based on an hourly fee. The final cost of the Digitization Project will vary depending on the time required to digitize all items requested as part of the project. Additional charges (i.e. Commercial Fee, Material Handling Fee, etc.) will vary depending on the project. The Libraries will accept various forms of payment, including FOAP, PDA, debit, Visa, and MasterCard. American Express, cash or cheque payments will not be accepted. 


DELIVERY

Delivery via Google Drive may be available depending on the scope of the project. The client may be required to provide external storage media, such as USB or external hard drive, if the request is too large to deliver via Google Drive. For staff, delivery may be accommodated through shared directories, where possible. Storage media may be shipped to faculty and staff for a fee.  Please be advised that University of Manitoba holiday closure dates may affect digitization request delivery times. 



MATERIAL HANDLING

Material Handling fees will be applied to digitization requests for materials that require special care during the scanning process (i.e. rare books, fragile materials). Prior to charging a Material Handling fee, the client will be notified and provided with a brief summary of why the fee will be applied to the invoice.

CANCELLATION

Cancellation request may be placed within 3 business days from when the request was submitted. Cancellation requests will only be granted if RSDS has not commenced the scanning request. A partial refund may be granted if the work is not yet completed. 

 

 

 

 



COMMERCIAL FEE

Clients using digitized images for commercial use (including images featured in profit publications) will be subject to the Commercial fee. Please contact Sara Min for any questions.

RUSH ORDER

Rush orders will only be applied on a case-by-case basis. If RSDS cannot meet the rush order request, the client will be contacted. Please be advised that University of Manitoba holiday closure dates and staff availability may affect digitization request delivery times.
