Sharing Citations, PDFs and Annotations with others

You can share citations (references), pdfs, and annotations from your Zotero library with others.  To do this you must create a Group and only use Zotero for annotating your PDFs.

Create a Group Steps:

  1. Go to the Zotero website.
  2. Click Log In (upper right hand side of page).
  3. Add in your Zotero account userid and password.
  4. Click Groups (tab).
  5. Click Create a new group (link).
  6. Add in a name for your group (make it meaningful to your group).
  7. Select appropriate group type:
    1. To share PDFs and annotations select "Choose Private Membership".
  8. Click Create Group (button).
  9. For the group's settings, select options as desired (default is fine) and click Save Settings (button).
  10. Open your Zotero desktop (or web library) and add the citations you want to share to the group (look for it at the bottom of your collections listing).

Add people to your group Steps:

  1. Go to the Zotero website.
  2. Click Log In (upper right hand side of page).
  3. Add in your Zotero account userid and password.
  4. Click Groups (tab).
  5. Identify the group you wish to add people to and click Manage Members (link).
  6. Click Send More Invitations (link).
  7. Add email (or Zotero username) for each person you wish to add to your group.  Separate individual email addresses or Zotero user names with a comma. (Note: It's best to add people by their Zotero username; if they don't have a Zotero account use their email address)
  8. Click Invite Members (button). (Note: members will receive a Zotero email invitation)

Trouble Shooting and Cautions

STORAGE Caution

The shared library storage comes out of the owner's storage allotment.  Any citations and pdfs added by other users to the group collection also come out of the owner's storage allotment.  This may have cost implications.

Don't see your new group?

When you open your Zotero desktop, make sure you have an internet connection and click the green sync button.
